How the freelance rate is calculated

Direct answer: the tool first calculates the annual revenue required to fund the entered personal take-home target, reserve, business costs and contingency margin. It then divides that revenue by realistic billable hours rather than all working hours.

Pre-reserve owner income = take-home target รท (1 โˆ’ reserve rate)
Required revenue = (pre-reserve owner income + business costs) รท (1 โˆ’ contingency margin)
Hourly rate = required revenue รท billable hours
Example: a 40,000 take-home target, 25% reserve, 10,000 business costs and 10% contingency requires 70,370.37 of annual revenue. At 46 weeks, five days, 7.5 hours and 70% billable utilisation, 1,207.5 billable hours produce an hourly planning rate of 58.28 and a 437.08 day rate.

Why billable hours are lower than working hours

Freelance work includes activities that may be essential but cannot be invoiced directly: prospecting, proposals, bookkeeping, software maintenance, training and project gaps. The sensitivity table shows how a ten-percentage-point change in utilisation affects the required rate without changing the annual revenue target.

How is the freelance hourly rate calculated?

ToolBullet divides the required annual revenue by the billable hours available. Required revenue includes the take-home target grossed up by the user-entered reserve percentage, annual business costs and the entered contingency or profit margin.

Why is billable utilisation important?

Freelancers normally spend some working time on administration, marketing, proposals, training, bookkeeping and gaps between projects. Lower billable utilisation means the same annual revenue must be earned from fewer chargeable hours, so the required rate rises.

Does the reserve percentage calculate my tax?

No. It is a planning assumption entered by the user. Tax, social contributions, deductions, company structures and filing rules differ by country and personal circumstances.

Why is the contingency margin divided rather than simply added?

The margin is defined as a percentage of final revenue. Dividing the pre-margin requirement by one minus the margin rate makes the resulting margin equal to the entered share of revenue.

Should the day rate equal eight hourly rates?

Not necessarily. This model multiplies the hourly rate by the hours per day you enter. Commercial day rates may also reflect minimum bookings, scope, urgency, value, risk or market conditions.

How should I use the salary comparison?

An imported employee salary is shown only as a reference. Gross salary and freelance revenue are not equivalent because freelancers may fund unpaid leave, business costs, insurance, equipment and tax or social-contribution reserves.
